Walford Park and Recreation Minutes
Regular Meeting Tuesday August 6th, 2024
Meeting called to order at 7:03 pm. Hahn, Werner and Davis present.
Motion by Hahn to approve July 2, 2024 Parks Board minutes. Seconded by Davis.
Approved unanimous.
Discussion related to baseball/softball jersey options for the next 2025 season. Options to include: an open store option will be created so that parents are responsible for ordering their player's jersey at no cost if included in the program fee, or as an add-on option in addition to the season fee. Action tabled for future meeting.
Discussion to present a formal plan for field maintenance with the city to determine next steps for the 2025 season. This could include, but not limited to, obtaining a professional quote for the smaller diamond infield to include resetting home plate, ensuring the correct distances between home plate and bases, and cutting new baselines. An option on the quote will include expanding infield lime to dugouts and incorporating a bullpen area. Will also get a quote to clean up the batting cage and enclose it with railroad ties or similar for easier ongoing maintenance. Action tabled for next meeting.
Discussion for ongoing field maintenance needs during the regular use season timeframe and to present a plan to our maintenance department and then leverage volunteers through parents in the program for additional needs and understanding their equipment access.
Parks requests that the lime pit at the ball diamonds be refilled and weeded.
Werner motioned to amend umpire rates for FY 25/26 to Include a line item for returning non-certified umpires, if they have completed a prior season, to be paid $45 per game.
Certified umpire, home plate - $60 per game
Non-Certified umpire, home plate - $40 per game
Certified or Non-Certified umpire, bases - $40 per game
Returning, Non-Certified umpire, home plate or bases - $45 per game.
Seconded by Davis. Approved unanimous.
Discussion regarding concession stand future plans. Discussion included ways to improve volunteer support for the concession stand and improve preseason communication to parents and potential volunteers needed. Will review what practices and licenses could be obtained for the facilities for discussion at the September meeting. IVL membership includes the expectation that all towns in the IVL have an operational concession stand at home games.
Discussion regarding rental agreement for ball diamonds. Updates were made including:
- Clearly specifying that a Walford Resident must sponsor the rental
- Adding checkboxes to identify which field is being rented
- Adding expectation that signed agreement/deposit/payment must be submitted a minimum of 2 business days prior to requested rental date
- Updated security deposit to $200 and will add a clarifying message regarding this deposit.
- Updating rental responsibilities related to each diamond and equipment availability to the renter for use during their requested time.
- Removal of concession stand use option
- Removal of soft pitch clause and cigarette butt clean up statement
- Updated rental pricing: $30 per event (3 hours or less) and $60 for the full day
Motion to approve edits made by Werner. Seconded by Davis. Approved unanimous.
Discussion to put together diamond standard rules/expectations for posting at the diamonds to be reviewed at the September meeting.
Discussion around purchasing a City Park North Storage Shed. Hahn to obtain quotes and discussion will be continued at the September meeting.
Discussion regarding Halloween Party. Date will be October 26th,10:00AM - 12:00PM.
Motion to approve $500 budget for Halloween party supplies made by Werner. Seconded by Hahn. Passed unanimous.
Pickleball Court Update from Davis. The replacement tile has been ordered and in currently production. Werner will respond to Fairfax email regarding adding the Walford court back into the Highway 151 Pickleball League location rotation.
Discussion for other future Parks Plans/Initiative tabled for September meeting.
Motion to approve $500 budget from baseball line item for storage shed organization and storage needs made by Hahn. Seconded by Werner Passed Unanimous.
Concerns were raised regarding TruGreen signage that is placed after chemical application and if notification can be given to residents via Facebook when it is scheduled.
Request city maintenance to confirm signage requirements and compliance and City staff to update Facebook page if possible with scheduled dates.
Motion to adjourn by Werner, seconded by Hahn. Meeting adjourned at 8:31 pm.
